RMAN — AI Relationship Manager

1. Introduction

RMAN ("we," "our," or "us") is an AI-powered relationship management application ("App") that helps you maintain and deepen the relationships that matter most to you. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.

By using RMAN, you agree to the practices described in this policy. If you do not agree, please discontinue use of the App.

2. Information We Collect

2.1 Information You Provide Directly

• Account information: Your name, email address, and profile photo when you register or sign in (including via Google Sign-In or Sign in with Apple on iOS).
• Partner profiles: Names, relationship types, ages, interests, important dates, notes, and profile photos you add for people in your life.
• AI conversation content: Messages, questions, and context you provide when interacting with Arman, our AI assistant. This content is sent to Google's Gemini API to generate suggestions and responses.
• Todos and suggestions: Activity ideas, gift suggestions, date ideas, recipes, and other content you save or mark complete within the App.
• Shared links: URLs you share into RMAN from other apps (via the iOS Share Extension or Android share sheet). We extract and store metadata (title, description, preview image) for display within the App.
• Shared partner profiles: When you use the "Share a Person" feature, a sanitized snapshot of that partner's profile (name, relationship type, interests, location, and important dates — but not private notes, AI suggestions, or Memory Vault facts) is temporarily stored in our database and made accessible via a unique invite code. This snapshot is readable by anyone who has the code, including unauthenticated users viewing the web preview page. Shared profiles expire automatically after 30 days.

2.2 Information Collected Automatically

• Usage data: How you interact with the App, including features used, screens viewed, and actions taken, collected via Firebase Analytics.
• Device information: Device type, operating system version, app version, and general location (country/region) collected via Firebase Analytics.
• Crash and performance data: Error logs and performance metrics collected via Firebase Crashlytics to help us identify and fix bugs.

2.3 Information from Third-Party Services

• Google Sign-In: If you sign in with Google, we receive your Google account name, email address, and profile photo. We do not receive access to other Google account data.
• Sign in with Apple (iOS only): If you sign in with Apple, we receive your Apple-provided name and email address (Apple may relay a private email address at your option). We do not receive any other Apple account data.
• Google Calendar (if you grant permission): Upcoming calendar events to help surface relevant reminders. This data is read-only and is not stored on our servers.
• YouTube: The Partner Feed feature queries YouTube's Data API server-side using your partner's interests as search terms. We receive video titles, thumbnails, and channel names. Your identity is not shared with YouTube.
• Giphy: The Partner Feed may include GIFs sourced from the Giphy API, searched using your partner's interests. Your identity is not shared with Giphy.
• ZenQuotes: Inspirational quotes displayed in the Partner Feed are fetched from the ZenQuotes public API. No personal data is shared with ZenQuotes.
• Facebook (event metadata only): If you share a Facebook event link into RMAN, our server-side function may query the Facebook Graph API to retrieve the event name, description, and cover image for display. Your Facebook credentials are not used for this — only our app's server-side access token is involved.
• memegen.link (meme generation, Pro only): When you use the Meme feature, meme images are rendered via the memegen.link public API. The meme template name and text strings you or Arman provide are sent to memegen.link to generate the image. No personal account information, partner names, or profile data is transmitted — only the meme template and text content.

3. How We Use Your Information

We use the information we collect to:

• Provide the App: Create and manage your account, store your partner profiles, and deliver AI-generated suggestions personalized to the people you care about.
• Power the AI (Arman): Your partner profiles, interests, notes, and conversation messages are sent to Google's Gemini API to generate contextually relevant suggestions. Google processes these prompts subject to their own terms and privacy policy.
• Sync your data: Your profiles, suggestions, and saved content are stored in Firebase Firestore and Firebase Storage so your data is available across devices and is not lost if you reinstall the App.
• Improve the App: Aggregated, anonymized analytics data (via Firebase Analytics) helps us understand how the App is used and where to improve.
• Send notifications: With your permission, we may send push notifications, including: daily suggestion reminders, important date reminders, and a one-time re-engagement message sent approximately 22 hours after you add your first partner (containing an AI-generated personal message from Arman). You can disable notifications at any time in your device settings.
• Authenticate your identity: Firebase Authentication is used to securely identify you and protect your account.

We do not use your data to serve third-party advertising. We do not sell your personal information.

4. Data Sharing and Disclosure

We share your data only in the following circumstances:

We do not share your data with any other third parties. All third-party services are bound by their own privacy policies and data processing agreements with Google and Meta respectively.

5. Data Storage and Retention

Where Your Data Is Stored

Your data is stored on Google Firebase infrastructure (Firestore and Firebase Storage), primarily in US-based data centers. By using the App, you consent to this transfer and storage.

How Long We Retain Your Data

• Active accounts: Your data is retained for as long as your account is active.
• Deleted accounts: When you delete your account within the App, we initiate deletion of your data from Firestore and Firebase Storage within 30 days. Some aggregate, anonymized analytics data may be retained for longer periods as it cannot be associated with you.
• Inactive accounts: Accounts with no activity for 24 months may be flagged for deletion. We will attempt to notify you before deletion.
• Local device data: The App stores some data locally on your device (in a local database and app storage). This data is removed when you sign out or uninstall the App.

6. AI Data and the Gemini API

When you use Arman's AI features, the following data is sent to Google's Gemini API:

• Your partner's name, relationship type, age, interests, and notes
• Important dates associated with that partner
• Recent memory facts Arman has learned
• Your message or request

Google's use of this data is governed by the Google Cloud Terms of Service and Google's AI/ML Privacy Notice. By default, Google does not use API data submitted through the Gemini API to train their models.

We do not store the raw text of AI prompts or responses beyond what is needed to display them within the App session.

7. Profile Photos

Profile photos you upload for yourself or your partners are stored in Firebase Storage. These photos are:

• Private to your account and not publicly accessible
• Retained for as long as your account is active
• Deleted when you remove the associated partner profile or delete your account

8. Children's Privacy

RMAN is intended for users 18 years of age and older. We do not knowingly collect personal information from children under 13. If we become aware that we have collected data from a child under 13, we will delete it promptly. If you believe we have inadvertently collected data from a child, please contact us at the email address below.

9. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

All Users

• Access: You may request a copy of the personal data we hold about you.
• Deletion: You may delete your account and associated data at any time through the App settings. You may also contact us to request deletion.
• Correction: You may update or correct your information at any time within the App.
• Data portability: You may request your data in a portable format.

For Users in the European Economic Area (EEA) and UK — GDPR Rights

Under the General Data Protection Regulation, you additionally have the right to:

• Restrict processing: Request that we limit how we use your data.
• Object to processing: Object to certain types of processing, including profiling.
• Withdraw consent: Where processing is based on consent, you may withdraw it at any time.
• Lodge a complaint: You have the right to lodge a complaint with your local data protection authority.

Our legal basis for processing your data is contract performance (to provide the App), legitimate interests (improving the App, preventing fraud), and consent (notifications, optional features).

For California Residents — CCPA Rights

Under the California Consumer Privacy Act, you have the right to:

• Know what personal information we collect, use, disclose, and sell (we do not sell your data).
• Delete your personal information (subject to certain exceptions).
• Opt out of the sale of personal information (we do not sell your data).
• Non-discrimination: We will not discriminate against you for exercising your CCPA rights.

10. Security

We use industry-standard security measures to protect your data, including:

• Firebase security rules that restrict data access to authenticated users only
• HTTPS encryption for all data in transit
• Firebase Authentication for secure account management

No system is completely secure. While we take reasonable precautions, we cannot guarantee the absolute security of your information.

11. Third-Party Links and Services

The App may integrate with or display content from third-party services (e.g., YouTube videos in the Partner Feed). These services have their own privacy policies, and we are not responsible for their practices. We encourage you to review the privacy policies of any third-party services you use through the App.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last Updated" date at the top of this page. We will notify you of material changes through the App or via email. Your continued use of the App after changes are posted constitutes acceptance of the updated policy.

13. Affiliate Program Disclosure

RMAN participates in the Amazon Services LLC Associates Program, an affiliate advertising program designed to provide a means for apps to earn advertising fees by advertising and linking to Amazon.com.

As an Amazon Associate, we earn from qualifying purchases. When you tap "Shop on Amazon" within the App and subsequently make a purchase, we may receive a small commission at no additional cost to you. This does not affect the price you pay, the products we recommend, or the objectivity of Arman's gift suggestions.

Product suggestions are generated by AI based solely on the interests and preferences you've provided. We do not accept payment from sellers or brands to influence suggestions.
